Payroll service when employing personal assistants

AK Payroll has been working with recipients of Direct Payments and PHB’s since 2011 and prides itself on delivering cost-effective services that meet the particular needs of individuals who are receiving care, or who are responsible for the care of another, sometimes in quite challenging circumstances.  Recognising that care needs are always changing, and that you can't work to rigid deadlines, we offer flexible support that is built around the individual.

We offer a payroll service that enables you to employ your own personal assistants, meaning you have full control over who is working for you and when, and leaves us to handle the administration, calculations and legislation for you.

Our payroll process is based on a timesheet system which is completed and then authorised by your signature every 4 weeks before being returned either in the pre-paid envelope provided or by email.  We have different format timesheets depending on shift patterns and pay frequency – we will have discussed with you which is the right one for you during our initial chat.  We are happy to tailor the format if needed, such as large print documents for those clients with poor eyesight.  Each timesheet is pre-populated with the employer details and the dates for the correct pay period, so the only information we need is the hours worked or absences on a given day.  No calculations are required – for the employer it’s simply a case of start at the top, work to the bottom, sign and send.

Email and/or phone call reminders are made 2 days and 4 days after the pay period if the timesheet hasn’t been received to reduce the likelihood of a payment being rolled over to the next pay cycle and a nil return being sent to HMRC.

We will query a timesheet with the employer if there’s anything missing or incomplete or if the hours recorded exceed the Support Plan.

Personal assistants can elect to receive printed or password-protected emailed payslips.  Those who have opted for emailed payslips will receive them as soon as the payroll is updated, thus confirming that their timesheet has been received and processed.

We will send a letter to personal assistants advising them of their options with regard to the employers’ pension obligations and a separate letter to advise them if they’ve been auto-enrolled.

For each payroll we will advise you of the payments that need to be made to your employees, HMRC, pension provider and other agencies.  We would, though, highly recommend that you take a look at our Managed Direct Payment service.  If you take advantage of this then we can make all of the payments for you on the same day.
